High School Student Services Newsletter

Hayfield Students, Families, and Community:

It is amazing to believe we are already more than halfway through the month of October and the end of the first quarter is fast approaching on October 31. As this date approaches, I wanted to provide important information about grading and reporting at Hayfield.

As a reminder, Hayfield utilizes a rolling gradebook across all courses. In a rolling gradebook, the final grade is determined by a combination of all assignments and assessments given throughout the year, not an average of quarter marks. Instead of using nine weeks to mark “the end of learning,” a rolling gradebook records long-term progress as the year goes on, not just short-term achievement in each quarter. It also provides a more accurate reflection of the student grade at any given point in time, and at the end of the year.

Beginning this year, Hayfield will no longer be printing report cards and sending them home. Students and families will be able to access grades using StudentVue and ParentVue. Additional information around this change is given below in the Upcoming Events section.

This is also an exciting time of year for our seniors who are reaching the first major college application deadline on November 1. Our counselors have been diligently supporting students through this process as they look forward to their post high school life. Students and families remember that while it is important for students to meet the requirements of these deadlines, colleges and universities provide some leeway to school counseling professionals knowing the volume of students they are supporting. Our team is committed to assisting students in a timely manner and are excited to see what the future holds for our students.

Continue to check out our newsletter for information and updates on upcoming events.

Sincerely,

Dr. Erik J. Healey
High School Director of Student Services
Hayfield Secondary School

Advanced Academics Information Night: If you are interested in learning more about advanced academics at Hayfield Secondary, we will be hosting an Advanced Academics Information Night in the Middle School Lecture Hall on October 22nd 6:30-8:00pm. We’ll be discussing Advanced Placement (AP), Dual Enrollment (DE), and Honors (HN) courses. We’ll have a presentation, and you’ll get to hear from some of our advanced academics teachers. If you have questions, please contact our Advanced Academics Coordinator (Christa Voegtle: cdvoegtle@fcps.edu) or our Director of Student Services (Erik Healey: ejhealey@fcps.edu).

Quarter 1 Report Cards: Our Student Services departments are attempting to go paperless, which will include end of quarter report cards. Starting this school year, report cards will no longer be printed and mailed home. Students and families will need to access report cards through StudentVue and ParentVue.

The SIS ParentVUE Account is the FCPS secure solution for accessing information about your child's attendance, class performance, demographic data, and link to Schoology. It provides an additional conduit for communication with your child's school. If you already have a ParentVue account, there is no further action required. If you have not yet activated your ParentVue account, please visit the FCPS ParentVue Account Registration site.

Please reach out to Julie Hall if you have any questions about your ParentVue account.

Schedule Change Requests: When building the master schedule in the spring of the previous year, we are incredibly intentional about our staffing based on the courses for which students are registered. Recognizing circumstances can change, this is why we open the window to request schedule changes for the first two weeks of the school year.

At this time in the school year, students may request a schedule change, however, given the amount of instruction already completed, only schedule changes requesting to move from an Honors/AP course to a standard level course will be considered. Requests that involve changing teachers or electives will not be considered. Additionally, schedule changes cannot be guaranteed and can only be made if space is available in the requested course.

Students will need to complete the Schedule Change Request form, which can be provided by your student’s counselor. All schedule change forms need to be received prior to November 15, 2024. Courses that are dropped prior to this date will not be represented on a student’s transcript. Any courses dropped after November 15, will be represented with a Withdraw Pass (WP) or a Withdraw Fail (WF) on a student’s transcript per FCPS Regulation 2445.7.

Please reach out to your student’s counselor if you have any questions about the process.
